Choose the right categories

Keep business, commute and private travel separate. If several vehicles or drivers are involved, link every trip to the correct one.

  • Weekly: add missing purposes and locations
  • Monthly: check odometer continuity and export
  • Yearly: archive complete reports with supporting records

PDF and CSV serve different jobs

PDF is easy for a person to review. CSV keeps individual records available for a spreadsheet or another system. Preserve both when the mileage history is important.

Use automation as capture, not judgement

Connect the trip to business context

A route between two addresses does not explain itself. Add the client, project, appointment or operational purpose while the drive is recent. A concise, specific note is more useful than a generic label such as “work”.

Where appropriate, keep supporting calendar entries, invoices or work orders with the same reporting period. The mileage log then becomes an index to evidence rather than an isolated list of locations.

Close each reporting period deliberately

Before sending a monthly or quarterly report, check the date range, vehicle, driver, unclassified trips and odometer continuity. Resolve possible duplicates and confirm that manual edits still make sense.

Save a human-readable PDF for review and a CSV copy of the underlying trips. Consistent filenames and reporting periods make it easier to compare revisions and hand the records to an accountant without extra explanation.
